Google Workspace Studio has moved well beyond the early Flows preview and is now a generally available, Gemini-powered automation tool inside Workspace. But can it handle the same document processes as a dedicated Google Workspace workflow platform? If your team manages proposals, invoices, contracts, HR files, applications, or compliance documents in Google Drive, the expensive part is rarely the storage. It is everything that happens around the file: collecting data, generating the document, finding the right reviewer, chasing approvals, changing permissions, filing the final version, and keeping a record of what happened.

Google Workspace Studio and Zenphi both automate work inside Google Workspace, but they approach that problem from different directions. Studio focuses on making everyday automation accessible directly inside Workspace, with Gemini helping users build flows from natural-language instructions. Zenphi is designed around end-to-end operational workflows where several people, business rules, systems, or administrative actions need to participate in one controlled process.

A document workflow in Google Workspace is any repeatable process that creates, reads, routes, approves, changes, stores, or archives a document across tools such as Drive, Docs, Gmail, Forms, and Sheets.

A contract, policy, proposal, or invoice moves through one or several reviewers before the process can continue.

2 Document generation

Structured data from a Form, Sheet, CRM, or another system is turned into a Google Doc, PDF, proposal, certificate, or agreement.

3 Lifecycle & permissions

Files are organized, ownership is transferred, sharing is changed, access is revoked, or records are archived when business events occur.

The three scenarios below deliberately go beyond “save an attachment to Drive.” They test whether the platform can coordinate the document as part of a larger business process.

Current product status

Google Workspace Studio is now a real automation product — but its scope still matters

Workspace Studio is generally available in 2026.

It is the evolution of Google Workspace Flows and is available with supported Google Workspace Business and Enterprise editions. Users can build flows with Gemini, templates, or a step-by-step editor.

Current native integrations include Gemini, Gmail, Calendar, Chat, Drive, Docs, Forms, Sheets, and Tasks. Google also supports third-party integrations and custom steps, although some third-party capabilities remain in limited preview.

Studio has become substantially more capable for everyday Workspace automation. It can react to Gmail, Form, Drive, and schedule-based events; use Gemini to classify, extract, summarize, or make a true/false decision; create Google Docs and folders; update Sheets; and pass variables from one step to another.

There are still important architectural boundaries for organizational document processes. Google’s current documentation states that flows fail when they use Shared Drives or shared folders, and the native app list does not include Google Admin or Directory. Studio also does not expose a dedicated approval primitive that waits for another person’s formal decision and then continues through a sequential or parallel approval chain.

Sequential document approval workflow

Form submission → Manager approval → Marketing approval → Drive filing → Sheet log → Gmail notification

Scenario: a requester submits a Google Doc through a form. The document first goes to the manager for approval, then to Marketing. Once both decisions are complete, the workflow moves the file into an Approved folder, records the result in Google Sheets, and emails the requester.

Route the request to the first approver.
Wait for a formal decision before continuing.
Route approved requests to the second approver.
Move the final document, update Sheets, and notify the requester.

Studio can trigger from Workspace events, use conditions, pass variables, update Sheets, create tasks, and send messages. The missing piece for this scenario is a dedicated multi-person approval step that assigns the decision to another user, waits for the response, records it formally, and repeats the pattern for the next approver.

Zenphi Designed for approval orchestration

Zenphi can route the document sequentially or in parallel, look up approvers dynamically, wait for each decision, capture comments and timestamps, send reminders, escalate when needed, and continue automatically into Drive, Sheets, Gmail, or another system.

Verdict

For a personal review reminder or simple notification flow, Workspace Studio may be sufficient. For a formal document approval process spanning multiple people or departments, Zenphi is the stronger fit.

Automated document generation and PDF filing

Scenario: a Google Form submission starts the workflow. The process generates a proposal using the submitted client data, saves the final output as a PDF in the appropriate Drive folder, and notifies the requester.

Studio now includes a native Create a Google doc step, can use variables from previous steps, and can choose a Drive folder for the new document. That covers basic generated documents well. Google’s current documented Studio steps do not provide the same purpose-built template merge, document assembly, and PDF-generation workflow controls offered by dedicated document automation platforms.

Zenphi Built for document lifecycle automation

Drive permissions and access revocation during offboarding

Employee exit → find files → transfer/control access → revoke permissions → suspend user

Scenario: an employee leaves the organization. The workflow needs to identify relevant Drive files, transfer or archive them according to policy, remove the departing user’s access, and suspend the Google Workspace account.

Start from an HR or IT offboarding event.
Locate or process Drive content connected to the user.
Change sharing, ownership, or archive location according to policy.
Suspend the account and continue with other offboarding actions.
Workspace Studio Not currently a native Google Admin automation layer

Studio’s published native app list covers Drive and several end-user Workspace apps, but not Google Admin or Directory. Current file restrictions around Shared Drives also make this a poor fit for a complete organization-wide offboarding and access-governance workflow using only built-in Studio steps.
