Google Cloud Space Munich is an executive briefing center where Google welcomes enterprise customers. To support those visits, the team prepares temporary Google Workspace environments that allow participants to work with demo accounts, shared content, and configured collaboration settings.

Those environments need to be ready quickly, but they also need to follow internal security and sharing policies. Once a visit ends, temporary access must be removed so demo accounts and permissions do not remain active longer than intended.

The challenge

Before automation, the Google Cloud Space team prepared and reset each Workspace environment manually. With multiple customer visits in a single week, the recurring setup and teardown created a substantial operational burden and introduced the possibility of inconsistent configurations.

The solution

Automating the complete Google Admin workflow instead of individual console actions

The workflow combines Google Admin actions with forms, policy rules, Drive operations, automation logic, and scheduled Google Workspace offboarding for newly created accounts. That means the team can request an environment without manually repeating the same sequence of Google Admin console tasks for every visit.

1. Self-service user provisioning

This is how Google automated some of the IT access requests and IT service delivery processes. Googlers request demo accounts through a Google Form. Zenphi then creates the accounts automatically with the correct organizational-unit placement, default profile images, backup email settings, and applicable security policies.

This allows the team to support the customer experience while controlling where public content is stored and how sharing is configured.

3. End-of-day user offboarding

Temporary access is cleaned up automatically at the end of the day. User-suspension and deletion workflows prevent demo accounts from persisting after the visit and reduce the risk of lingering permissions.

In practice, provisioning and offboarding become two ends of the same managed lifecycle rather than separate manual Google Admin console tasks.

4. AI-assisted data processing
