CloudM pricing by product
CloudM currently separates its pricing across several products rather than one platform-wide subscription. The most directly comparable recurring product is Automate & Protect, which combines Google Workspace management, backup, leaver archiving, offboarding workflows and email signatures. Migrate uses a separate licensing model and does not have a published list price.

Automate & Protect pricing
Essential is the entry point at $18 per user per year. It includes daily backup and one leaver offboarding workflow, which makes it relevant when the primary requirement is to preserve departing-user data and automate a basic exit process. Pro doubles the annual per-user price to $36 and adds Shared Drive management, three offboarding workflows and more frequent backups. Enterprise removes the workflow count limit and adds faster backup intervals, bulk Drive controls and negotiated volume pricing.
The pricing model is tied directly to headcount. A 500-user organisation on Essential therefore has a list price of $9,000 per year; the same domain on Pro is $18,000 per year. That makes user count an important part of the comparison when the actual operational workload is concentrated in a smaller IT or HR team.
CloudM Migrate pricing
CloudM does not publish a list price for Migrate. The licence is tied to destination entities rather than to the number of administrators running the migration. Shared Drives are measured by data volume: per 10GB when moving into Google Workspace and per 100GB when moving into Microsoft 365. Serviced migrations are separately quoted around scope, source environment, data volume, timeline and required support.
Every Migrate licence includes 12 months of use, support for more than 20 source platforms, a pre-migration environment scan, hosted or self-hosted deployment, all content types and unlimited catch-up runs. Groups, resources and room calendars migrate without consuming a user licence.
Email signatures and Business Continuity
CloudM's email-signature product starts at $5 per user per year and can be purchased independently of the broader management package. Business Continuity starts at $1 per user per month for Microsoft 365 organisations with at least 1,000 users, with Google Business Continuity Plus licences purchased separately. These are distinct cost centres, so they should be modelled separately from Automate & Protect and Migrate.
How CloudM Migrate licences are counted
CloudM Migrate licences are counted per unique destination entity. If 100 source users are consolidated into one destination mailbox, that consumes one licence. A user with both a primary mailbox and a separate Exchange Online Archive consumes two. Licences bind to the destination domain and to the source–destination pair, so changing either side can require additional licensing.
Each Migrate licence remains valid for twelve months.

What drives total cost beyond the licence
Automate & Protect scales directly with active user count. Growth in headcount increases recurring cost even when the number of lifecycle workflows stays constant.
Migrate measures Shared Drive moves in data blocks, so large shared repositories can change the project cost independently of user count.
Serviced migrations add implementation and support costs based on scope, environment complexity, volume and timeline.
Archived User and Business Continuity scenarios can still require Google licences that remain outside CloudM's own subscription price.
Backup and archiving solve only part of a leaver process. HR approval, handover, licence reclamation, equipment return and access removal still need ownership.
Migration, backup, signatures and business continuity are priced separately, so a multi-product deployment should be costed as a stack rather than a single plan.

The CloudM alternatives, one by one
BitTitan MigrationWiz — focused migration with per-user bundles
MigrationWiz replaces CloudM Migrate rather than CloudM's ongoing management and backup modules. It is built for MSPs and IT teams moving mailboxes, documents and whole tenants between Microsoft 365 and Google Workspace. Its advantage is migration depth and product packaging around specific migration jobs. For a one-off migration, that focus can be easier to model than buying an ongoing management platform.
It is weaker when the requirement continues after cutover: there is no backup product or lifecycle automation layer comparable to CloudM Automate & Protect. Teams choosing MigrationWiz typically pair it with separate backup and offboarding tooling.
Zenphi — customizable lifecycle workflows, backup flows and Power Automate migration
Zenphi is a no-code workflow automation platform built around Google Workspace. It includes pre-built templates for both onboarding and offboarding, and those templates can be fully customised with additional actions, approvals, branching, document steps and integrations. Teams can use them as a starting point rather than being limited to a fixed leaver sequence.
Backup and archiving can also be designed as workflows. For example, a process can export Gmail and Drive data through Google Vault to Cloud Storage, then add retention, notification, ownership-transfer, approval or licence-reclamation steps around the export. A leaver workflow can combine HR data, manager approval, Vault exports, Google account actions, Entra ID and Teams access removal, finance sign-off and a complete run history. Zenphi also supports migration of existing Power Automate workflows: flows can be exported from Power Automate and then rebuilt in Zenphi with ZAIA, Zenphi's AI workflow builder. This is workflow migration rather than tenant or data migration. Migration in the other direction — from Google Workspace processes to Microsoft — is not currently available. Zenphi uses tier-based pricing: each tier includes a package of workflows, with the effective price for a single workflow as low as $50 per month. There are no per-user or workflow-run fees.
Afi — backup for both Google Workspace and Microsoft 365
Afi replaces the backup component of Automate & Protect. It suits teams whose gap is straightforward SaaS backup rather than migration or lifecycle management, especially where both Google Workspace and Microsoft 365 need protection under one backup product. The research brief lists third-party pricing at $3 per user per month or $33 per user per year; verify the current vendor rate before publication.
Afi's strength is that dedicated focus. It does not try to become the offboarding engine or migration layer. That makes it a cleaner comparison when backup and restore are the buying criteria.
Backupify — established SaaS backup through the MSP channel
Backupify is another replacement for CloudM's backup capability rather than its migration or offboarding products. It is a long-established SaaS backup brand commonly sold through Kaseya and Datto partners. The research brief records reported pricing around $3 per user per month, but because the vendor sells largely through partners, current commercial terms should be checked before purchase.
Backupify is strongest where backup is already being bought and managed through an MSP. It does not replace CloudM's migration tooling or its pre-built leaver workflows.
Google Vault with Archived User licences — stay inside Google
Google Vault and Archived User licences are the native route for organisations that want to retain former employee data without introducing a third-party archiving vendor. Vault handles retention and eDiscovery; Archived User licences keep departed-user data available at a lower licence tier than a full active Workspace account, depending on the Workspace edition.
The surrounding offboarding and data-archiving process still has to be run: approvals, ownership transfer, exports where required, group removal and licence changes. Those steps are manual unless they are automated separately.
Patronum — lower-cost Google Workspace lifecycle management
Patronum replaces the offboarding and signature portions of CloudM for Google-only organisations. It combines onboarding, offboarding, email signatures, contact sharing and other Workspace administration in a lower-cost per-user package. The research brief records published business pricing of $8 per user per year for Patronum and $16 for Patronum+.
Its advantage is price and focus. It is best for SMBs that want Google Workspace lifecycle management without migration or cross-platform orchestration. The limitation is the same model that keeps it simple: every active domain user is part of the licence base, and Microsoft lifecycle work remains outside the product.
Promevo gPanel — delegated admin and decommissioning
Promevo gPanel replaces the administrative and decommissioning portion of CloudM rather than its migration or backup functions. It is built as a delegated Google Workspace admin console, with granular admin roles and decommissioning workflows on the higher plans. That makes it particularly useful where a helpdesk needs scoped permissions without broad super-admin access.

Pricing models compared
The alternatives use very different billing units. CloudM, Afi, Patronum and gPanel scale with user count. MigrationWiz prices migration as a project licence. Native Google retention carries its own Workspace licence economics. Zenphi scales by workflow capacity rather than by headcount or execution volume.
