The Basic plan includes unlimited workflows but limits some other capabilities, while Enterprise pricing is customised. Those published figures provide a useful starting point, but they do not tell the whole story. In a direct customer interview, one home care organisation reported paying $2,500 per quarter for 12 workflows and said its cost increased when additional employees were added. That contract does not match either public starting figure exactly.

The $2,500 figure is the current vendor-published starting point. The $1,500 figure is a current third-party Capterra listing. They should not be treated as interchangeable plan quotes.

Kissflow pricing plans and published costs

Kissflow currently presents two main pricing levels on its pricing page: Basic and Enterprise.

Kissflow's pricing FAQ adds more detail about the commercial model. It says pricing is primarily based on users, with transaction-based tiers built in so heavier users can fall into a different usage tier. It also says that user roles do not change the price: an administrator and another user are not priced differently simply because of role.

Capterra shows a different Basic configuration: $1,500 per month, usage-based, for 10–30 users. Its listing includes unlimited workflows and requests, API access, datasets, parallel workflows, role-based access, SSO for Google Workspace and Microsoft 365, webhooks, SLA configuration and live chat support.

Which starting price should a new buyer use?

For a new procurement exercise, the current Kissflow-published $2,500/month figure is the safer reference point. Capterra's $1,500 listing remains useful evidence of another published plan configuration, but it may reflect different packaging or an older commercial structure.

What does Kissflow cost per user?

Kissflow does not publish a simple per-user rate for the current $2,500 Basic plan, so there is no defensible way to convert that figure into one universal seat price.

Capterra's $1,500 Basic listing does give a 10–30-user range. That allows an effective per-user calculation:

These are calculations from Capterra's listed package, not published Kissflow seat prices. Kissflow's own FAQ says the model is primarily user-based with usage tiers, which means the final quote can depend on more than headcount alone.

What real Kissflow customers report paying

Published plans are useful for establishing a baseline. Existing customer contracts show why that baseline should not be treated as a prediction of every account.

In a direct customer interview, one home care organisation told us it was running 12 workflows for $2,500 per quarter. Those workflows covered HR approval processes such as location changes and replacement requests. The quarterly amount works out at roughly $69 per workflow per month.

The same customer said that adding another employee increased its cost. That does not map neatly to either the current $2,500-per-month Basic starting price or the 10–30-user Capterra plan. The account could be on an older plan, a negotiated contract, a different package or discounted quarterly terms.

How to interpret this interview

It is real customer evidence, not a Kissflow rate card. One account cannot establish what Kissflow will quote another organisation. It does show that contracts already in market can differ materially from today's public plan descriptions.

What users say about Kissflow pricing and product value

Price is only one part of the buying decision. Current G2 review summaries show why organisations keep evaluating Kissflow despite the entry cost: users repeatedly praise its ease of use, workflow flexibility, automation capabilities and ability to digitise approval processes without heavy development work.

The recurring negatives are different. G2's review summary highlights complaints about limited features, mobile and data-processing limitations, gaps in scripting and reporting, limited customisation, third-party integration problems and access-control consistency. G2's pricing page also notes that smaller teams and organisations scaling advanced features can find pricing steep.

The useful takeaway is not that Kissflow is simply "expensive." It is that the value equation changes by team size, feature requirements and contract structure. Published pricing establishes the baseline; reviews and real contracts show how that baseline behaves in practice.

What can increase the total cost of Kissflow?

User count and usage tier

Kissflow says pricing is primarily user-based with transaction tiers. Growth in the number of people using the platform can therefore affect the commercial tier.

Enterprise-only features

Kissflow's pricing FAQ says individual Enterprise features cannot simply be added to Basic. If the deployment requires an Enterprise feature, the account needs the Enterprise plan.

Professional services

Kissflow has a Professional Services division that can build solutions and custom connectors. Kissflow says these services are typically additional to licensing.

Private cloud infrastructure

Dedicated cloud infrastructure can be deployed on Google Cloud, AWS or Microsoft Azure and carries an additional managed-service fee.

Support level

Kissflow's pricing FAQ describes Silver support for Basic and Gold support for Enterprise, with additional 24x5 support available to Enterprise for an extra fee.

Implementation time

G2 pricing insights report about two months to implement and thirteen months to ROI. These are user-reported averages, not vendor guarantees.

Negotiated terms

G2 reports an average discount of 9%. That indicates negotiation occurs, but it should not be interpreted as a discount every buyer will receive.

Custom integrations

Kissflow says custom connectors can be built by Professional Services, with pricing based on the integration scope.

How Kissflow pricing compares with workflow automation alternatives

Automation platforms do not all charge for the same thing. Kissflow's own documentation describes a primarily user-based model with usage tiers. Other platforms tie cost to tasks, users, processes, integrations or workflows.

The important distinction is the cost driver. If your organisation adds users faster than it adds processes, a user-based model behaves differently from a workflow-based one. If a process executes thousands of times, a per-run or task-based model behaves differently again.

Migrating existing Kissflow workflows

Pricing is only one part of a platform change. The cost of rebuilding existing workflows can be more important than the licence difference, particularly when years of process logic are already embedded in the current system.

Kissflow workflows can be exported and passed to ZAIA, Zenphi's AI workflow builder.
