An AI document-validation agent inside the existing Google Workspace intake process

Camp Ramaquois used Zenphi to build an AI agent that acts as a “second set of eyes” during intake. Rather than asking staff to open a separate AI application, the workflow sits behind the Google Workspace tools already used for submissions and communication.

Its job is to validate the camper’s document package before the file reaches the core onboarding team. AI handles the interpretation and review of submitted information, while deterministic workflow logic controls reminders, routing, escalation, and final filing.

1. Intake from Gmail and Google Forms

The workflow monitors incoming Gmail attachments and Google Forms submissions. Each camper’s package is cross-checked against a master list of documents required for that camper.

2. AI checks completeness and field-level accuracy

The agent does more than confirm that a file exists. It can identify problems inside the submitted information — for example, a missing medical signature or incorrectly completed emergency-contact information.
